As an Events Coordinator, you will play a crucial role in providing operational support for our onboarding programs, focusing on creating positive and impactful new hire journeys. Your daily tasks will involve managing pre-start logistics and providing seamless onsite event support. You will be instrumental in ensuring the smooth execution of events ranging from new hire orientation to specialized training programs.
Responsibilities:
- Provide comprehensive operational support for onboarding events and programs.
- Manage all aspects of event preparation, including logistics, materials, and vendor coordination.
- Deliver exceptional "white glove" service to presenters, attendees, and stakeholders.
- Proactively identify and resolve any potential issues or flags to ensure smooth event execution.
- Serve as a knowledgeable point of contact for event-related inquiries from attendees and stakeholders.
- Manage event setup, breakdown, and inventory.
- Utilize event management tools and registration systems effectively.
- Contribute to light projects related to change management and quarterly scheduling.
- Collaborate effectively with cross-functional teams (facilities, content stakeholders, etc.) to ensure event success.
- Comfortably manage events with attendee sizes ranging from 40 to 200 people.
- Collect and analyse feedback to measure event success and identify areas for improvement.
- Become proficient in new internal tools and systems quickly.
- Maintain accurate records and documentation related to events.
Qualifications:
- Strong written and verbal communication skills.
- Excellent customer service, interpersonal, and cross-group collaboration abilities.
- Comfortable navigating ambiguity and uncertainty in a dynamic work environment.
- Proven experience with project management and process improvement.
- Exceptional time management, attention to detail, and the ability to effectively multitask across concurrent projects.
- Ability to work both independently and collaboratively within a team.
- Comfortable with public speaking and presenting in large event settings.
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, Access) and Google Suite.
- Sufficient years of experience in event coordination or a related field.
- Must have experience with Salesforce management.
Preferred Qualifications:
- Experience with employee onboarding or new hire experience.
- Experience within the hotel, hospitality, or event planning industries.
- Experience managing events at scale and delivering a high level of customer service.
- Familiarity with Learning Management Systems (LMS).
