Job Description
As an Executive Assistant at COS, you will be pivotal to the success of our Managing Director, teams, and overall business. Positioned in the heart of the fashion industry, this role offers a unique opportunity to make a significant impact within a dynamic and evolving organisation. You will anticipate the needs of the Managing Director, building strong relationships with integrity and professionalism. By staying informed on business priorities, you will ensure smooth operations and bring organization and structure to a constantly changing environment.
What you will be doing:
- Independently managing our executive's calendar and schedule, and coordinating and planning meetings, calls, appointments and events.
- Prepare for meetings by creating detailed agendas, gathering materials, producing high-quality documents and presentations, and taking precise minutes.
- Follow up on actions and deadlines, ensuring that the work move forward.
- Act as the primary point of contact. Managing communications, including emails, teams messages, phone calls, and other correspondence, and responding when necessary.
- Complete expenses on behalf of our executives and ensure invoices are processed efficiently.
- Managing all aspects travel, including arranging flights, accommodation, transport, visas and creating comprehensive itineraries.
- Manage other administrative tasks as required.
- Act proactively in all aspects to save time and solve ad-hoc problems as the arise.
- Take the initiative and lead your own projects and delegate tasks both independently and collaboratively.
- Collaborate with multiple stakeholders to proactively prepare and solve problems.

- Experience working as a high-level EA from a fast paced complex organisation.
- Exceptional organisational and time-management skills, with an ability to multitask effectively and coordinate an evolving workload.
- Strong written and verbal communication skills, exemplifying professionalism and diplomacy. Experience minuting meetings and creating action notes.
- Exceptional attention to detail and a proactive approach to problem-solving.
- Strong interpersonal skills, with the ability to collaborate effectively within a team and interact with individuals at all levels within the organisation.
- Adaptability to changing priorities and the ability to thrive and find solutions in a fast-paced, dynamic creative environment.
- Be able to handle confidential information with the utmost discretion

This is a full time permanent contract based at our Head Office in London.
