Reports to Director of People
The Human Resources department is responsible for all aspects of people management to support the school’s overall strategic aims. Covering both the senior and junior schools, and Wimbledon Common Prep School (WCPS) as well as KCS Enterprises and King’s International. We are seeking to appoint a highly organised and proactive HR Administrator to support recruitment, onboarding, and HR administration across the staff lifecycle. The role requires excellent attention to detail, strong communication skills, and a proactive approach to problem solving, alongside a commitment to safeguarding and compliance.
Key Responsibilities
Recruitment & Selection
- Coordinate end-to-end recruitment campaigns.
- Work with the HRBP and hiring managers to agree recruitment timelines, closing dates, and interview schedules with hiring managers.
- Draft recruitment materials and create, upload, and monitor job advertisements.
- Manage the recruitment inbox, candidate communications, and application records.
- Prepare and maintain interview documentation, panel folders, and candidate logs via Microsoft Teams.
- Coordinate interview logistics, including rooms, written tasks, and reception arrangements.
- Process post-interview activity, including candidate communications, expenses, references, and social media checks.
Onboarding & Pre-Employment Checks
- Manage end-to-end offer and onboarding process, from verbal offer to start date.
- Draft, issue and track contracts, coordinating approvals with senior leaders.
- Maintain and update onboarding and staff records on the school’s internal systems.
- Verify qualifications, right to work, identity, safeguarding and other compliance documentation.
- Liaise with candidates to initiate and monitor DBS, medical, overseas, and other required checks.
- Coordinate induction logistics, including IT access, system permissions and staff induction events
Training & Compliance
- Set up and manage the administration of mandatory training across the training platforms. used at the school.
- Communicate training requirements and track completion, maintaining accurate training. records for all staff.
- Monitor refresher training schedules and notify staff accordingly.
Staff Administration & Employee Lifecycle
- Process changes to job titles, including approvals, letters, and system updates.
- Support with providing employment references for current and former staff.
- Maintain accurate employee files and HR records, filing documents and correspondence accordingly.
- Support with the monthly payroll process.
Person Specification:
- A graduate degree or equivalent professional qualifications
- Proven experience in HR administration, ideally within education or independent school settings
- Strong administrative and organisational skills, with the ability to manage multiple priorities in a face paced environment
- Excellent IT skills, including Microsoft Office; experience with HR systems
- Exceptional communication skills, both written and verbal
- Ability to maintain confidentiality and discretion at all times
- Strong attention to detail and accuracy in record-keeping
- Commitment to safeguarding and compliance

- 40 hours per week, Monday to Friday from 8.30am to 5.30pm with an unpaid hour for lunch
