About the role
We are looking for a highly organised and proactive Programme Administrator to provide essential administrative support that ensures the effective coordination and smooth delivery of our programmes. Working closely with Programme Managers, internal teams, and external stakeholders, you will play a key role in maintaining accurate records, supporting programme budgets and forecasts, and assisting with planning, reporting, and communications. This is an excellent opportunity for someone who enjoys working in a fast-paced, collaborative environment and has strong attention to detail.
Key Responsibilities
- Coordinate day to day administrative tasks related to programme delivery
- Support the Programme Manager with planning, reporting and communications
- Process invoices and grant claims, maintaining accurate budget tracking under supervision.
- Ensure grant eligibility criteria are met and support claimants by providing clarification, explanations and verifying appropriate evidence of claims
- Organise meetings, workshops and training sessions, working collaboratively with the events team to book venues, send invitations and manage attendee lists
- Maintain accurate and up to date programme documentation, including records, reports and databases
- Monitor project timelines and follow up on outstanding actions to ensure progress remains on track
- Manage programme related correspondence and respond to enquiries in a timely and professional manner
- Maintain open and effective communication with internal teams and external stakeholders
- Organise and maintain all programme documentation to ensure accuracy, consistency and accessibility
- Support the development of project management standards and contribute to improved planning, monitoring and reporting practices across the organisation
Person Specification – Experience, Knowledge and Skills
- Proven experience in an administrative or coordination role (experience supporting programmes or projects is desirable)
- Proficient in Microsoft Office applications (experience with project management or reporting tools such as Power BI, Microsoft Planner or Power Automate is desirable)
- Strong organisational skills with the ability to manage multiple priorities simultaneously
- High attention to detail and a proactive, solutions-focused approach
- Excellent written and verbal communication skills
- A collaborative team player who can also work effectively independently
- Adaptable and able to work effectively in a fast paced environment
