This is a key role for the Foundation team in providing support to optimize the employee experience.
Key Responsibilities
The key areas People & Culture Officer will deliver include People Operations and Administration (including as an People & Culture Data Analyst; L&D Officer and Talent Acquisition Officer. The role will also support the P&C Team with projects and enhance the employee experience further by overseeing office management, internal events and ad hoc support. The People & Culture Officer will represent FAIRR/ JCF’s policies, procedures and goals. The tasks revolve around ensuring the policies are administered fairly and accurately to the employees (automation will be a key driver of this). Having a clear understanding of the strategic objectives is important to understand implement policies that support them. The Officer will support the Managers with administration tasks and will have exemplary MS Office skills producing work on time and to a high standard of professionalism and accuracy.
People & Culture Data Analyst
Key responsibilities relative to the effective management of employee related data and systems
- Organising, auditing, cleansing and maintaining HR data and HR GDPR
- Taking ownership of the HR data manipulation and reporting
- Streamlining HR processes and helping to manage the HR systems.
- Updating employee electronic records
- Preparing HR documents
- Providing an effective support service to end users.
- Delivering high quality and accurate HR data and service information to the business
- General administration for the HR team, including producing HR PowerPoints and publications
- Being the first point of contact for HR data / system queries
- Keeping abreast of new systems releases
- Preparing reports and analysing employee data
- Providing monthly pay updates to payroll and ensuring Personio is up to date (automating this process and creating workflows with Finance
L&D Officer & Talent Acquisition Officer
Key responsibilities relative to the provision of effective administration of L&D and Talent Acquisition
L&D
- Research learning and development practices in order to meet organisational, departmental and individual development needs
- Identifying training needs and supporting the administration of development programs for employees.
- Coordinating training delivery and tracking completion.
- Arrange the booking of trainers, venues, travel, accommodation and facilities for L&D events
- Communicate course requirements with trainers, facilities, learners and external suppliers with agreed timelines
- Provide a reliable point of contact for all learning and development matters
- Ensure staff attend internal and external learning events to meet legal requirements and wider L&D strategy
- Produce reports on learning and development activity using agreed People performance indicators
- Prepare or select any learning and development materials or programmes required by the learner/trainer
- Produce and maintain accurate records of learning and development activity in compliance with procedures
- Monitor and collate L&D evaluation forms
- Support the L&D team in achieving their development goals
- Manage the learning and development calendar
- Provide administrative support to staff and managers in the planning and delivery of L&D events and strategy
- Provide administrative support to the wider P&C team where required
Talent Acquisition
- Undertake recruitment administration on Personio
- Streamline resourcing processes using Personio
- Produce reports and MI
- Filter and shortlist CVs and applications
- Act as a point of contact for all resourcing issues and matters for Interns and Work Experience
- Recommend ways to improve the employer brand
- Participate in career events and job fairs
- Support with internal mobility / career progression
- Posting job adverts, screening applications, conducting interviews, and managing the recruitment process.
- Routine interviewing of junior candidates (or first round screening) and assessments of candidates
- Coordinating interviews
- Utilizing effective sourcing strategies to attract diverse talent.
- Onboarding new employees, including induction training and necessary paperwork.
- write and develop job descriptions, person specifications and job adverts
- manage the application process - check application forms, shortlist, interview, select successful candidate/s and inform unsuccessful ones
- ensure that prospective staff have the right to work at the organisation
Employee Relations:
- Providing basic advice to addressing employee concerns that may otherwise lead to grievances, and disciplinary issues.
- Providing basic advice to line managers on managing employee performance and relationships.
- Facilitating communication between employees and management.
- Note taking and administration for confidential hearings
Performance Management:
- Implementing performance review processes and supporting employees setting performance objectives.
- Providing feedback and coaching to employees to support development.
- Creating reports
- Provide support with performance management and the year end remuneration administration processes
Compliance:
- Ensuring adherence to employment laws and regulations, including data protection and equality legislation. Ensure this is reflected in Personio
- Maintaining accurate employee records and documentation.
Compensation and Benefits:
- Administering holiday and salary calculations
- Managing employee benefits packages and communicating changes.
- Administer the benefits on Pacific Prime and advise on pay and other benefits
Onboarding/Off Boarding
- Onboarding new staff – ensuring the process on Personio is followed; ensuring all the compliance documentation is in place, supporting and reminding managers of their obligations; ensuring probation reviews have taken place
- Providing an Operations Induction (H&S, overview of Personio and IT set up and security pass, workstation setup, ensuring IT-related issues are managed and addressed, teamwide accounts/logins; managing technical IT issues by liaising with the experts etc.
- Completing all off boarding and removing data in line with GDPR after 18 mths/ 7 years
- Responsible of onboarding/offboarding maternity leave.
Operations
- Managing HR meeting agenda.

Experience
- Previous experience of working in an HRdepartment
- Experience of data and HR Information Systems
- Experience with (phone and in-person) interviews, candidate screening and evaluation
- Experience in organising e.g.diary management, event management, budget processes
- Experience in creating Board packs
- Experience of implementing and overseeing HR operational processes to ensure that HR administration is efficient and accurate, and that the office runs efficiently
- Excellent written, verbal, and interpersonal communication skills with a demonstrated ability to work with all levels of employees and management. Experience of preparing letters, presentations, and reports to a high standard.
Knowledge
- Knowledge of employment law and best practice
