About The Role

As a Talent Acquisition Coordinator, you will act as a tactical and operational enabler for a team of experienced Talent Acquisition Business Partners. You will own the operational and administrative backbone of recruitment, improving efficiency, consistency and candidate experience across the hiring lifecycle. This role sits at the heart of Talent Acquisition, working cross functionally with mainly HR Operations and HR Business Partnering to ensure recruitment and onboarding run seamlessly.
The ideal candidate will exercise sound judgement, knowing when to act independently and when to escalate, while calmly and confidently supporting the team. You will communicate clearly and professionally whilst managing competing priorities with high attention to detail, diplomacy and rigour.
Trusted as a go‑to operational partner, you will anticipate the needs of the TA team, proactively suggest practical improvements, and bring an enthusiastic, innovative approach to streamlining processes and enhancing the candidate experience.
Key responsibilities include:
Interview scheduling and coordination
- Own end‑to‑end interview scheduling and rescheduling across multiple roles and stakeholders.
- Coordinate availability between candidates, hiring managers and interview panels, managing diaries across time zones where required.
Recruitment inbox and candidate communications
- Manage a shared recruitment inbox, responding to candidate and stakeholder queries accurately and within agreed service levels.
- Proactively chase actions such as interview feedback, availability requests and outstanding documentation.
ATS and data management (Workday)
- Ensure compliance with internal processes, data quality standards and audit requirements.
- Support recruitment reporting by maintaining clean data and producing regular activity and status reports as required.
Onboarding coordination
- Act as the bridge between Talent Acquisition and HR Operations to ensure a smooth and timely onboarding process.
- Coordinate pre‑employment checks, documentation and handovers, proactively resolving issues to avoid delays for new hires.
- Keep candidates informed and engaged between offer acceptance and start date.
Operational and administrative support
- Provide comprehensive administrative support across the recruitment lifecycle
- Identify opportunities to streamline and standardise recruitment administration and propose improvements.
Stakeholder and team support
- Build strong working relationships with Talent Acquisition Business Partners, Hiring Managers and HR colleagues.
- Act as a trusted operational partner to Recruiters, anticipating needs and proactively removing administrative burden.
- Contribute ideas, best practice and continuous improvement suggestions to enhance team effectiveness.
About You
- Previous experience in an in‑house recruitment, talent operations or RPO environment as a Coordinator, Administrator or similar support role.
- Strong experience in interview scheduling and high‑volume recruitment administration.
- Experience using Workday or another ATS is highly desirable.
- Confident and professional communicator, comfortable liaising with candidates, Hiring Managers and senior stakeholders.
- Highly organised, with the ability to prioritise competing demands and work effectively under pressure.
- Strong attention to detail and a commitment to data accuracy and process consistency.
- Customer‑focused, with a genuine desire to deliver an excellent candidate and stakeholder experience.
- Proactive, curious and solutions‑orientated, with a mindset of continuous improvement.
