About The Team
The Commercial and Contract Management is a new function within Corporate Services where we are looking to drive efficiencies and best practice across all contracts. Our aim is to deliver a joined up, effective and compliant contract management approach, including a formal pipeline / cycle planning.
With end to end management of the process we will increase contract savings potential with pre-contract qualification, negotiation of renewal and ensuring value for money. This coupled with our oversight of the Police Efficiency and Collaboration Programme and the Productivity ambitions, the team will have strategic visibility of all commercial activity across the City of London Police
About The Role
The Contract Coordinator will assist the Commercial and Contract Management (CCM) team to provide structured commercial management support and coordinate key activities relating to commercials, finance, risk management, and supplier management.
Reporting directly into the Head of CCM, the Contract Coordinator, will undertake tasks according to the direction of the CCM team that supports the onboarding, management and governance of all contracts.
Responsibilities
In this role, you will be:
- Support the onboarding new contracts in conjunction with City of London Procurement, to ensure all purchase requisitions are input, finances are set up, baselines for each contract is understood and reporting is set up in readiness for senior stakeholder review.
- Setting up tracking and reporting across the function, supporting the Head of CCM in legislative and internal reporting and especially in line with the savings budget/targets given.
- Provide overarching oversight on the spend on contracts that account for less than £10k per contract. Ensuring efficiencies and adherence to Procurement Code.
- Own the Procurement Authorisation Report (PAR) process, providing governance around pre-contract checks in line with current processes.
- To undertake any tasks required that may be required including commercial governance materials, updating Change Registers, and ensuring all relevant documentation is stored away for auditing purposes.
Requirements

- Knowledge of contract management area would be an advantage
- Excellent administration and organisation skills with an ability to meet strict deadlines and prioritise own workload.
- Ability to work with minimum supervision in a pressurised environment.
- Ability to communicate at all levels, within and outside the organisation.
- High level of IT skills, including MS Word and Excel, with the ability to learn new software quickly.
This vacancy is open only to those who have the right to work in the UK. Also, due to this role requiring MV/SC level vetting, you need to have continuously resided in the UK for the last 5 years. This residency needs to be in the immediate 5 years prior to this application.
