In this role you will manage the coordination, administration and first-line support of all PX activities for the UK-based International client group at Sony Music Entertainment. The employees you will support work across multiple Business Units within Sony Music including record labels, live events, company divisions, and Corporate Services teams.
In collaboration with your PX Business Partners, direct team, and wider PX team, you will support employees through every step of their career journey at Sony Music, allowing them to make their mark - on music and beyond.
Please note that this role is a 6 month fixed term contract
What you'll do:
First point of contact
Be the first point of contact for employees with any day to day PX-related queries including employment policies, processes, benefits, and escalate to the relevant PX colleagues whenever needed.
Employee lifecycle and experience
- Manage the end-to-end onboarding process for permanent new starters using the onboarding tool - from offer and contract creation, employment references, right to work checks, and IT set up.
- Oversee the probation process, track progress, organise check ins with the employee and Manager, and confirm probation passes or support with any appropriate action.
- Host PX introduction sessions for new starters and ensure they have a successful onboarding experience.
- Schedule the PX Culture Induction sessions for new starters and co-present with PX colleagues.
- Maintain all employee PX folders on the computer network, keeping them tidy and logical at all times.
- Oversee the parental leave process - support parents with planning their leave, log details for payroll, and support with their return to work.
- Track all contractors and temp agency workers, and provide system on and off-boarding as required.
- Manage the end to end offboarding process for leavers including contractual, operational and technical tasks.
- Conduct exit interviews and carry out analysis of leaving trends.
Payroll, compensation and benefits
- Coordinate the UK payroll process for the UK-based International client group collaborating with other PX Coordinators, the wider PX and Reward team. Maintain the payroll tracker, ensuring all changes, updates and necessary paperwork are tracked and processed accurately on the payroll tracker and PX system, and in line with payroll deadlines.
- Coordinate the Product Design & Engineering (PDE) payroll in Estonia on a monthly basis.
- Distribute final payslips and P45’s to leavers.
- Maintain holiday/absence system - ensure new starters, changes, allowance calculations, and Manager details are accurately captured; and run unpaid leave reports for monthly payroll.
- Assist in the coordination of annual benefit and compensation reviews, providing support whenever required.
- Create and distribute compensation and benefit letters to employees whenever needed.
PX and finance systems
- Conduct regular data audits on the PX system and ensure the data is accurate at all times.
- Support with running reports from the PX system and providing insights whenever required.
- Raise purchase orders using the finance system, and oversee invoice management.
Other PX admin
- Maintain accurate company organisation charts.
- Assist with coordination of Occupational Health Assessments and hearing tests when required using the external partner and platform.
- Coordinate risk assessments when required.
- Accurately log employee’s visa status on the PX system.
Employee relations and PX projects
- Support PX Business Partners with employee relations cases whenever required, including note taking in formal meetings.
- Lead on any projects related to your Coordinator role
- Assist with the coordination and rollout of PX projects, supporting with data work as required.
- Where appropriate, develop new content and resources for employees eg, induction materials, system and process guides, policies etc.
- Continuously evaluate PX ops and processes, and co-create solutions to improve PX effectiveness.
